How to Transfer Learning History Between Profiles

Super Admins can copy a learner's completions and CPD records onto another profile using Import learning history, an action on the Manage Users screen. This is useful when a learner has been set up twice, or arrives as a new profile after moving between sites, and their existing training record needs to follow them.

Transferring Learning History Between Profiles

  1. On the Thrive menu, go to Manage > Users.

  2. Click the ellipsis icon () next to the profile you want to add history to.

  3. Click Import learning history.

  4. Choose where the learning history should come from and click Continue.

    Note:

    Thrive currently only supports the From another learner’s profile, which copies completion and CPD records from an existing profile on the platform. The From a CSV file option, for bulk-importing learning history from a spreadsheet, is coming later.

  5. Carefully read the Before you begin information summarising what the import does and doesn’t do, then click Continue. This action can’t be undone, so make sure you have the right source profile before you continue.

  6. Under Find the source profile, search by name, email address, or ref to find the profile you want to copy history from, then click Continue.

    Note:

    If your search returns more than one match, a Multiple matches – verify carefully warning appears. Expand each result to check the person's completions and CPD record counts, email, ref, and last active date before selecting one.

  7. Choose whether to copy Completions, CPD records, or both onto the target profile and click Continue. Both are switched on by default.

  8. (Optional) Under Suspend the source profile?, choose whether to suspend the source profile once its history has been copied. This is recommended when the source is a duplicate, so the learner ends up with a single active account. This is switched off by default.

  9. Check the source and target profiles and the records about to be imported, then select I’ve checked both profiles and confirm I want to import this learning history. and click Import history.

    Important:

    This step repeats the warning that the import is irreversible. Take a moment to check you have the right source and target profiles before confirming.

Once you click Import history, a Records imported confirmation appears and the copied records are added to the target profile.
