User Roles and Permissions

User roles and permissions control what someone can see and do on your Thrive platform, from full platform configuration down to a single audience. This article brings together every role and permission type in one place, so you can see how they relate to each other and where to configure each one.

Platform-Wide Roles

Super Admin

A Super Admin has access to everything on the platform. This includes:

  • Site configuration, branding, and security & access settings.

  • Creating and managing users, including other admins.

  • Creating structures. Only Super Admins can create a new structure – this can take up to 48 hours to update.

  • Creating and managing any audience, collaboration, content item, or Space.

  • Deleting or editing any content or comment on the platform.

Learning Admin

A Learning Admin can manage content and audiences across the platform without needing full Super Admin access. This includes:

  • Viewing, creating, and endorsing all content

  • Managing existing audiences, including sharing and assigning content to them

  • Viewing reports and analytics across the platform

  • Editing tags

Note:

Learning Admins can't create new structures or configure site-wide settings. Structure creation is reserved for Super Admins.

Delegated Management Roles

These roles let a Super Admin decentralise day-to-day management of a structure or audience, without granting full platform access.

Structure Admin

A Super Admin can appoint one or more Structure Admins for any structure. Structure Admin permissions are set individually and only apply to the audiences within that structure. There are two permissions a Structure Admin can hold:

  • Manage Audiences: Create new audiences and edit existing ones within the structure.

  • Add Audience Managers: Add new Audience Managers to audiences in the structure, or edit the permissions of existing ones.

Audience Manager

An Audience Manager holds permissions on a single audience, toggled individually rather than granted as one fixed role. Depending on which permissions a Super Admin, Learning Admin, or Structure Admin turns on, an Audience Manager can:

  • Manage content shared with the audience.

  • Manage members and assignments.

  • View insights and reports for the audience, including access to the Leadership Dashboard where the Insights permission is applied.

  • Create and edit goals, and approve submitted task evidence, for members of the audience (this is sometimes referred to as the People Manager permission).

  • Create any user as a Learner, and edit or suspend users within the audience, if User Management is enabled for their organisation. Note: This permission is currently in preview and isn't enabled in production by default. Contact your Account Director if you'd like it enabled.

People Manager (Line Managers)

Separately from Audience Manager permissions, anyone with at least one direct report automatically gains manager-level access to their team's learning data. A People Manager can:

  • Access the Team Dashboard, showing learning behaviour and performance for their direct and indirect reports (up to two levels down).

  • Create and edit Goals for their direct reports.

  • View the learning records of their direct and indirect reports by searching for a user's profile.

Note:

Only one manager can access the full Manager Dashboard for a given user – their direct line manager. Additional managers can be granted narrower permissions, such as viewing learning records for an audience, through the Audience Manager permissions above.

Content Roles

Content Manager (Collaborations)

A Content Manager is a member of a Collaboration: a group of users authorised to post, share, and manage content on behalf of a team, brand, or subject matter area. Within their Collaboration, a Content Manager can:

  • Create any content type, including User-Generated Content (UGC) where it's enabled for the Collaboration.

  • View, edit, and delete any content posted within the Collaboration.

  • Manage events and attendance linked to the Collaboration.

  • View the Content Dashboard, filtered to content linked to their Collaboration.

You create and manage Collaborations from Manage > Collaborations.

Tag Manager

Tag Manager is a standalone permission that can be granted to any user, independent of their admin role. A user with Tag Manager access can manage Skills and Topics tags across the platform, including merging duplicate or incorrectly named tags. You configure this from Manage > Users.

Community Roles

Space Admin

A Space Admin has elevated permissions for a specific Space. Unlike a Super Admin, their control is limited to the Space or Spaces they administer. A Space Admin can:

  • Edit the Space's pages.

  • Manage membership.

  • Moderate posts and comments.

  • Configure page settings.

Everyone

Learner

A Learner is the default role for anyone on the platform. Every Learner can:

  • View content assigned or shared with them.

  • Track their own Skills, Goals, and badges from their Profile.

  • Create tags and follow other users.

  • Create and publish content if User-Generated Content (UGC) is enabled for their organisation, subject to the settings in Configure > UGC Configuration.

How Roles and Permissions Combine

A single user can hold more than one role or permission at once. For example, someone might be a Learning Admin and also have Tag Manager access, or a Learner who becomes a People Manager the moment they gain a direct report. Permissions granted at audience or structure level only apply within that audience or structure – a Structure Admin managing one structure won't see or affect audiences elsewhere on the platform unless they're separately granted access.
