AI Assistant: Setup and Administration

Prev Next

This guide provides a comprehensive overview of how to set up and manage the Thrive AI Assistant (also known as “Kiki”) for your organisation. Here, you'll find detailed instructions on how to enable the feature, customise its settings, and understand its capabilities, limitations, and data privacy policies.

Note:

For a guide on using the AI Assistant, see AI Assistant (Kiki): For Learners.

Enabling the AI Assistant

  1. In the Thrive menu, go to Configure > AI Features.

  2. In the Providers section, toggle on the AI providers you want to use. Available providers are:
Selection of providers for text and image generation services, including OpenAI and Google.

    • OpenAI: GPT and DALL-E for text and image generation

    • Google Gemini: Gemini for text, image and video generation

    Note:

By enabling these features, you are consenting to the use of AI providers to assist in processing your data as part of Thrive's services. Review the AI Privacy and Usage Policy before proceeding. You can disable AI tools at any time.

  3. In the Features section, toggle on any additional AI features you want to make available, such as Summarise Content and AI tag suggestions.
Settings menu for enabling AI features and selecting user permissions.

  4. For each feature, choose who can access it from the access dropdown:

    • Everyone: Makes the feature available to all users

    • Admins only: Restricts the feature to Admins

    • Specific audience(s): Restricts the feature to one or more existing Smart Audiences. Click Select audiences and search for the audience you want to add.

      Note:

Smart Audiences must already exist before they can be selected here. For more information, see Smart Audiences.

Analysing Your Platform Data With the AI Assistant

Super Admins can use the AI Assistant's Analyst mode to ask plain English questions about their platform data and receive instant answers. Responses can include written summaries, interactive charts, or data tables, and are best viewed in Zen mode - a full-screen view that makes data easier to read and interact with.

To switch into Analyst mode, open the AI Assistant and select Analyst from the mode selector in the assistant header. Analyst mode is an explicit opt-in – it does not activate automatically.

Once in Analyst mode, you can:

  • Ask natural language questions about your platform data – for example, "Show me the top 10 learners with the most overdue learning."

  • Receive responses as written summaries, interactive charts, or data tables.

  • Ask follow-up questions to drill further into the data – for example, requesting a different chart type or a breakdown by team or manager.

  • Expand View SQL below a response to see how your question was interpreted.

  • Copy, download, or send results via email using the share options below each response

To switch to Zen mode, click the display mode icon in the assistant header and select Zen mode.
