Summary

The Events page provides leaders with a complete view of event attendance, cancellations, waitlists, and user participation for all events within their audience(s).

It highlights attendance performance, cancellation trends, breach rates (late cancellations), waitlist activity, and detailed user-level event records. These insights help leaders understand how well events are being utilised, whether capacity is well managed, and where additional communication or intervention may be needed.

Visuals have a maximum lag of 6 hours, typically significantly less.


Filters

Use the filters at the top of the page to refine the dataset:

  • Structure Name / Audience Name / Manager Name — isolate users attending events within selected teams or reporting groups

  • Event Title / Event Tag — narrow the page to specific events or categories of events

  • Thrive Role (learner, learneradmin) — platform super administrators are excluded by default

  • Thrive Status (active, new) — suspended users are excluded by default

  • Additional Field Key (Custom Field) — select a segmentation field such as Region, Department, or Brand

    • Additional Field Value — filter to the specific value within that field

These filters allow leaders to understand event participation patterns in the right organisational context.

What You Need to Know

This panel explains how event data is structured:

  • This report summarises event attendance, cancellations, breaches, and waitlists across your selected audience(s)

  • To filter by custom field values, select the Custom Field first, then choose a Custom Field Value

  • Attendance is based on user-level records captured for event occurrences

  • Export frequency should be limited for performance


Top Tips

Practical advice to help leaders get the most value from the page:

  • Use the cancellation doughnut chart to understand why users cancel — e.g., annual leave, no longer required, more important priorities

  • Check if cancellations correlate with planned leave or significant business dates

  • Use the Monthly Attendance Rate chart to identify seasonal dips or months with poor attendance

  • Review cancellation breach rates to understand whether users are cancelling too close to event start times


Attendance Rate

Shows the % of users who attended events out of all registered, cancelled, not attended, and attended users.

How to use this visual:

  • Track the effectiveness of event attendance

  • Identify whether low attendance may be related to scheduling, timing, or relevance


Total Waitlisted

Shows the total number of users currently on an active waitlist across all events.

Useful for spotting over-demand or issues with event capacity.


Average Days on Waitlist

Shows the average number of days users spend on an active waitlist.

A high value may indicate:

  • insufficient event capacity

  • slow movement from waitlist to confirmed

  • old events with stuck waitlist entries


Cancellation Breach Rate

Displays the % of cancellations that occurred after the breach threshold — i.e., cancellations that were too late.

High breach rates indicate:

  • users are withdrawing last-minute

  • wasted event capacity

  • operational or communication issues


Cancellation Rate

Shows the % of cancellations out of all event registrations.


Why are people cancelling?

A doughnut chart showing cancellation reasons, such as:

  • manual cancellation

  • annual leave

  • more important priority

  • no longer required

  • unable to attend

How to use this visual:

  • Understand behavioural drivers behind cancellations

  • Identify avoidable reasons (e.g., annual leave → check for schedule conflicts)

  • Tailor event timing or communication strategy


Monthly Attendance Rate

A line graph showing the % attendance each month.

How to use this visual:

  • Identify months with consistently low attendance

  • Check whether certain seasons, projects, or deadlines impact attendance

  • Inform future scheduling


Monthly Cancellation Breach Rate

Shows how breach rates change over time.

Useful for understanding whether late cancellations:

  • are improving

  • are seasonal

  • correlate with workloads or key business dates


Events by Status

A visual displaying events with colour-coded segments representing:

  • registered

  • attended

  • cancelled

  • not attended

How to use this visual:

  • Identify events with consistently high cancellations

  • Check whether event type or topic affects attendance

  • Prioritise events that drive strong attendance


Waitlist Detail

A table showing:

  • Event name

  • Manager

  • User

  • Joined Waitlist date/time

  • Updated Waitlist date/time

  • Availability notifications

  • Total days on waitlist

How to use this visual:

  • Identify users stuck on waitlists too long

  • Spot events that require additional capacity

  • Investigate events with repeated or prolonged waitlists
