The Events page provides collaborators with a full overview of event attendance, cancellations, waitlists, utilisation, as well as upcoming event performance across the next 31 days.

It highlights:

  • how well event spaces are being filled

  • whether people are attending after registering

  • how often cancellations occur too late

  • why people cancel

  • how many users are currently waitlisted

  • detailed breakdowns of upcoming events, waitlists, and event statuses

This page helps you monitor event health, identify utilisation concerns, and understand learner behaviour around attendance and cancellations.

Visuals have a maximum lag of 6 hours, typically significantly less.


Filters

Use the filters at the top of the page to refine your dataset:

  • Collaboration Name — narrow reporting to events owned or managed by specific collaborations

  • Author — focus on events associated with particular content/event creators

  • Event Title — drill into a single event or compare performance across several

  • Event Tag — filter by event category

  • Host — analyse events run by specific facilitators

These filters allow you to isolate behaviour across different teams, event types, or hosts.

What You Need to Know

This panel gives important context about the Events dataset:

  • The page shows overview and details of attendance, cancellations, and waitlists

  • The next 31 days is the default window for Utilisation Summary and Detail

  • This ensures focus on upcoming events and any unfilled capacity

  • Dataset information is available in the data dictionary

  • Scheduled exports should be limited for performance


Top Tips

Helpful guidance shown in the panel:

  • Use Utilisation Summary to find events in the next 31 days that still have unfilled spaces — these may benefit from additional promotion

  • Use Utilisation Detail for a quick view of upcoming events along with registered users

  • Pair this with Event Detail to view host and user data together


Utilisation Rate

Shows the percentage of total available event spaces that are filled (registered or attended).

This helps answer:

  • Are we filling our sessions effectively?

  • Do some events consistently under-fill?


Attendance Rate

Shows the percentage of registered attendees who actually attended.

Useful for monitoring:

  • which events have low attendance

  • where reminders or communication might help drive turnout

How to use this visual:

  • Use explore and “add” content title and if looking to go more granular into multi session events “add” occurrence start date too

    • change start date column to “detailed”

  • look for events with low attendance

    • are these events having the time spent to mark attendance or was attendance low?

      • If attendance was genuinely low are they running too frequently, was the good enough comms and visibility to promote it?


Cancellation Breach Rate

Shows the percentage of cancellations that occurred after the breach threshold (i.e., cancellations too close to event start time).

This helps identify:

  • last-minute drop-offs

  • wasted capacity

  • events where scheduling or reminders may need improvement


Cancellation Rate

Shows the percentage of cancellations across all registered users.


Total Waitlisted

Shows the number of learners currently on an active waitlist across all filtered events.


Average Days on Waitlist

Displays how long (on average) users remain on the waitlist.

High values may indicate:

  • low movement

  • demand exceeding capacity

  • events needing more sessions


Why are people cancelling?

A donut chart showing cancellation reasons, such as:

  • manual cancellation

  • more important priority

  • annual leave

  • unable to attend

  • no longer required

  • leave of absence

This helps identify behavioural patterns or operational issues contributing to cancellations.


Utilisation Summary

Shows events in the next 31 days that have unutilised spaces.


Waitlist Detail

A table showing who is currently on an active waitlist, including:

  • Event

  • Manager

  • User

  • Joined Waitlist

  • Updated Waitlist

  • Availability Notified

  • Total Days on Waitlist

Useful for:

  • investigating long wait times

  • identifying events needing increased capacity


Utilisation Detail

A table listing all events in the next 31 days with:

  • Event

  • Occurrence Label

  • Host

  • Start Date / End Date

  • Total Spaces

  • Utilised Spaces

  • Unutilised Spaces

  • Registered

  • Attended

  • Cancelled

  • Not Attended

This provides a complete breakdown of upcoming event performance.


Events by Status

A segmented bar chart showing totals for each event across:

  • attended

  • cancelled

  • not attended

  • registered

  • waitlist

This helps identify:

  • events with high cancellations

  • events with strong attendance

  • demand for specific topics or hosts


Monthly Cancellation Breach Rate

A line chart showing breach rate by cancellation month.

Useful for identifying:

  • seasonal patterns in last-minute cancellations

  • months requiring additional nudging or reminders

A detailed table of all event occurrences in the next 31 days, including:

  • Event
