How to best assign and space out content for onboarding

You can assign mandatory training to users in a staggered manner by using multiple audiences and the Days in Role and Start Date After membership rules. This method ensures that users receive assignments based on their tenure while also limiting the audience to those who joined after a specific date.

  1. Create an audience for the first assignment.

  2. Set the Days in Role rule to More than 1.

  3. Set the Start Date After rule to include only new users who joined after a specific date (e.g., Start Date After 1 October 2024).

This configuration ensures that new users are grouped into this audience and receive their first assignment.

  1. Create a second audience for the next assignment.

  2. Increase the Days in Role rule (e.g., More than 15).

  3. Keep the Start Date After rule the same.

With this setup, users move into the second audience after 15 days and receive their second assignment.

Repeat this process, adjusting the Days in Role rule for each new audience, until all mandatory training has been assigned. The specific rules and number of audiences depend on your organisation’s requirements.

It is recommended to create a final audience that contains all mandatory learning inside a pathway. This final audience allows for consolidated reporting across all assignments.

  • Users are added to this audience based on the Days in Role and Start Date After rules.

  • This ensures all assignments can be tracked in a single report, rather than reporting on each audience separately.

  • Users will not receive notifications for assignments in the final pathway, as completions from earlier audiences will count towards it.
