How To Assign Content To An Audience

Prev Next

This article covers how to assign content, set completion windows, and track learner progress. By assigning content to a specific audience, you can ensure that the right learners receive the relevant materials they need to succeed.

Note:

You must be an admin or an Audience Manager with the Create & manage assignments permission to assign content to an audience. See Structure Admin Permissions for the full list of available permissions and how to grant them.

  1. From the Thrive menu, go to Manage > Structures & Audiences.

Manage structures and audiences in Thrive Labs, displaying membership and audience details.

  2. Select the audience you want to assign content to.

  3. Click the Assignments tab.
Here, you’ll see a list of any content that has already been assigned.

  4. To add a new assignment, click + Create Assignment.

  5. Under Select content, search for and select the content you want to assign.
Dropdown menu for selecting existing content with a recent publication option.

  6. Set the completion window:

    • Click Duration, then enter a number and choose a unit (Day, Week, Month (30 days), or Years) under How long will learners have to complete this assignment?.

    • Or click Specific date, then use the calendar picker to choose a date.

    Example:

If you set it to two weeks and a new user joins that audience tomorrow, they will have the same two weeks from their join date to complete the content.

  7. (Optional) Turn on Recurrence to reassign this content on a repeating schedule, then enter a number and choose a unit.
Below, the assignment expires and is reassigned to each learner one year after their last completion:

    Note:

Recurrence is calculated from the date each learner completes the assignment, so recurring due dates may vary between learners.

  8. Click Create assignment.

The content is now assigned to the selected audience.

Tracking Progress

Once assigned, click the content in the Assignments tab to open its tracker. The tracker shows the assignment's title, its alternative content items (if any – click See more to view them), and:

  • A progress bar showing the overall percentage and number of learners complete (for example, "0% Complete" and "0 of 2").

  • Summary tags for the completion window (for example, "1 month to complete"), the number of content items, and the recurrence setting.

  • Four stats: Total Learners, Complete, Incomplete, and Overdue.

  • A Learners table listing each learner's status (Complete, Incomplete, or Overdue), date of completion, and due date.

Unassigning Content and Managing Notifications

Removing content from an Audience’s Assignments tab or removing a user from an Audience triggers an automatic “Essential Learning Removed” notification. This occurs even if the user has already completed the learning.

To prevent these emails during a large-scale clean-up, follow these steps:

  1. Go to Configure > Notifications.

  2. On the User Default Settings table, switch the Assignments row and disable its EMAIL and MOBILE toggles.

    Note:

You may need to wait one to two minutes to allow the platform to sync the new notification settings.

  3. Go to Manage > Structures & Audiences and remove the content from the relevant audience(s).

  4. Once finished, return to Configure > Notifications to re-enable the toggles.

This toggle affects all users globally. To avoid missing other important alerts, complete your updates during quiet periods and remember to re-enable the toggle immediately afterward.

FAQs

What happens to the due dates when I edit the recurrence period of an existing assignment?

When the recurrence period is edited, the next due date is immediately recalculated for the entire audience based on each user’s last completion date.

  • If a user's last completion date falls within the newly defined window, the assignment remains in the Complete status.

  • If the last completion date falls outside the new window, the assignment status changes to open and requires completion again.

How long does it normally take for changes in recurrence periods to take effect and show on a user’s Learn Page?

Depending on the number of users in the Audience that the Assignment has been created in, it should be relatively instantaneous for the updated recurrence period to be reflected on the users’ Assigned Learning. However, in some circumstances, it can take up to an hour for the changes to filter through to all members of the Audience.

What happens when private Content items are assigned to an Audience?

The Content items are made available to all users in the Audience to which it has been assigned so that the users are able to access the Content items to complete their Assignment. However, this does not show up as a Share on the Content item. So, when you look at Content reports that list information about how many users and Audiences the Content items have been shared with, the Assignment will not show up as a Share in any of these reports.
